This policy explains what AI Tech Communities collects when you use aitechcommunities.com, why we collect it, who we share it with, and what you can do about it. We have kept it specific to how this site actually works rather than filling it with clauses that do not apply to us.
Who we are
AI Tech Communities is a directory of online communities for people working in AI, software and related fields. The site is published at aitechcommunities.com. Where this policy says “we” or “us”, it means the people who operate that site.
To reach us about anything in this policy — including a request to see, correct or delete your data — use our contact form and choose “Privacy or data request”.
What we collect
Information you give us
- Community submissions. When you submit a community through our submission form, we collect the community name, its link, the platform it runs on, the category you choose, a description, any image or screenshot you upload, and your contact email address. Your email address is used to contact you about the submission; it is not published on the listing.
- Account details. If you create an account, we store your email address, a display name, and a securely hashed password. We never store your password in readable form.
- Contact messages. If you use the contact form, we receive your name, email address, the topic you select and your message.
- Newsletter. If you subscribe, we store your email address and the date you subscribed so we can prove consent and send you the emails you asked for.
- Paid placements. If we offer paid or featured placements and you buy one, we receive the billing details needed to complete that order. Card details are handled by the payment processor and never reach our servers.
Information collected automatically
Our web server keeps standard access logs. These record the IP address making a request, the page requested, the time, the referring page and the browser user agent. We use them to keep the site running, to investigate errors and to deal with abuse such as spam submissions or attacks. They are not used to build profiles of visitors.
What we do not do
- We do not run Google Analytics or any other third-party analytics product on this site.
- We do not run advertising, remarketing or social media tracking pixels.
- We do not sell or rent personal information, and we do not share it for cross-context behavioral advertising.
- We do not host comments, so we do not collect commenter details.
Cookies
We use only the cookies the site needs to function. Browsing the public parts of the site — the home page, the directory, category and platform pages, listings and articles — does not set any cookies at all.
Cookies are set only when you do something that requires them:
- Logging in. WordPress sets session and authentication cookies so the site can keep you signed in and protect forms against cross-site request forgery.
- Buying a paid placement. If we offer paid placements, the checkout sets a cookie to remember the contents of your cart.
Because we set no analytics or advertising cookies, we do not show a cookie consent banner. If that ever changes, we will ask for your consent before setting those cookies and update this policy first.
Third parties that receive data
We keep the number of third parties small. The ones that can receive personal data are:
- Our hosting provider, which runs the servers the site and its database sit on.
- Mailgun, which delivers the email we send — account emails, submission updates and newsletters.
- Google Fonts. The site loads its typefaces from Google’s font servers, which means your IP address and browser details are sent to Google when a page loads. This happens on every page and is the one third-party request the site makes on public pages.
- Squirrly SEO, the SEO plugin we use, which connects to its own service to analyze page content.
- A payment processor, if and when we sell paid placements. It receives the billing and card details needed to take the payment.
We also use a self-hosted email and contact management tool. It runs on our own server, so subscriber and contact data stays in our own database rather than being sent to a marketing platform.
Why we are allowed to use your data
Where the UK GDPR or EU GDPR applies, we rely on these legal bases:
- Consent for the newsletter. You can withdraw it at any time using the unsubscribe link in any email.
- Contract for running your account and delivering any paid placement you buy.
- Legitimate interests for reviewing submissions, replying to messages, keeping the site secure and preventing abuse.
- Legal obligation where we have to keep records, for example for tax on a paid order.
How long we keep it
- Published listings stay up until the community closes, asks to be removed, or we remove it.
- Submission records, including the submitter’s email, are kept while the listing is live so we can contact whoever submitted it.
- Contact messages are kept for up to two years.
- Newsletter subscriptions are kept until you unsubscribe.
- Account data is deleted when you ask us to close your account.
- Server logs are rotated by our host on a rolling basis, typically within a few weeks.
Your rights
Depending on where you live, you may have the right to ask us for a copy of your data, to correct it, to delete it, to restrict or object to how we use it, or to receive it in a portable format. You can also ask us not to sell or share your personal information — although, as above, we do not do either.
To exercise any of these, use the contact form and choose “Privacy or data request”. We will respond within one month. You will never be treated differently for exercising a privacy right.
If you are in the UK or EU and you are not satisfied with our response, you can complain to your national data protection authority.
Listings are public
Everything shown on a listing page is public and is meant to be indexed by search engines. If you run a community we have listed and you want it corrected or taken down, use the contact form and choose “Correct or remove a listing”. We do not require you to prove ownership before removing a listing at the owner’s request.
Links to other sites
The whole point of this directory is to send you to communities on Discord, Slack, Reddit, Skool, Facebook, GitHub and elsewhere. Once you follow one of those links you are on someone else’s service, covered by their privacy policy and not this one. We have no control over what they collect.
Children
This site is not aimed at children and we do not knowingly collect data from anyone under 16. If you believe a child has given us personal data, contact us and we will delete it.
Changes to this policy
If we change how we handle personal data we will update this page and change the date at the top. If the change is significant — for example adding analytics — we will say so clearly rather than quietly editing the text.
